Challenge

Average adjusters are specialists who assess and settle marine insurance claims, and the Association is their professional body.

Their member records were kept in a local Access database which wasn’t available beyond one computer. Meanwhile, membership activity was happening on their website, but the two never spoke to each other, so information quickly went out of sync.

The plan

The Association's membership rules are specific enough that no off-the-shelf system fit well, so a custom build made the most sense. It gave them exactly what they needed, tied into the rest of the website, with no extra costs as membership grows.

The whole project, website and membership system together, took around 5 months.

The product

The new system replaced Access entirely, bringing member management, reporting, renewals, and exam and event bookings into one place. Members renew online each year, with pricing based on membership level.

The Association's well-known annual dinner runs through the same system, handling table places, ticket numbers and guest invitations. Members can also book and pay for exams directly through their account.

With no more double entry between two systems, admin is simpler, and members can now do far more for themselves.

Results

Before the new CRM, membership records lived on a single computer, and staff often had to enter the same information twice to keep the website and the database in sync. With everything now running through one connected system, that double handling has gone.

We estimate this saves hundreds of hours of admin and data entry every year, and just as importantly, the Association now has a single source of truth for every member's details, so nothing gets missed, duplicated, or goes out of date.
